These terms and conditions govern the agreement between you (the participant or buyer of our product/service) and Holy Himalaya Eco Trek Pvt. Ltd ("we", "us", and "our"), a leading tourism company licensed by the Nepal government. By purchasing our products and services, you agree to the following terms and conditions.

Our Commitment

Founded in 1992 by Jyoti Adhikari, Holy Himalaya Eco Trek has set a benchmark for excellence in the tourism industry. We ensure our clients have memorable encounters with the beautiful Himalayas while respecting the natural landscape and communities. Our dedicated team and crafted experiences set us apart, consistently catering to the individual interests of our guests. We provide tours, hotels, hostels, resorts, helicopters, and apartments.

Charity

Holy Himalaya Trust and its associates do not solicit charity or fundraising. Our guests, however, often participate in our charity work, focusing on production, education, and sustainability. We do not request any money from travelers for charity. Instead, travelers may voluntarily invest in initiatives such as "earn and learn" programs for children, schools, and agriculture in villages.

Booking Your Trip and Payment Details

1. Customized Trip

We can plan trips within your budget, whether you are traveling solo, with family, or with friends. Our trips are personalized, including highly qualified guides and the best possible service.

2. Basic Outline of the Trip

After understanding your preferences, we will present an adventure tailored for you. You will receive a preliminary itinerary and an initial estimated cost, which we can refine together.

3. Discussion on Your Itinerary

We will review the itinerary with you, making adjustments based on your feedback until it meets your expectations.

4. Confirm Your Trip

Once you are satisfied with the itinerary, you will complete a booking form and provide a confirmation deposit, which varies based on your destination. We will then supply all necessary resources for your trip

preparation.

5. To Make a Booking

When ready, request an offline application form. Typically, we ask for flight details and a copy of your passport without requiring advance payment. Once ready, book your flights, send us a copy of your passport, and make the payment upon arrival or via bank transfer before arriving.

6. Deposit and Payment

A minimum deposit of £/$9.00 per person is required as a non-refundable booking fee. You can transfer the full amount to our bank or pay upon arrival in Kathmandu. In case of cancellation, be aware that you may lose approximately 25% of the domestic flight cost once tickets are issued. Payment conditions for trips focused on Tibet and Bhutan will adhere to the respective country's rules.

7. Price Quoted

The quoted price includes airport pick-up, drop, transfers, tours, hotel accommodation with breakfast, at least one dinner, guides, helpers, guest house accommodation, minimum equipment, and government permits. Verify inclusions before booking. We do not recommend including meals as there are numerous restaurant options available.

8. Travel Insurance

You must have adequate and appropriate travel insurance covering any adventurous activities such as trekking at altitude. Most of our trips do not require climbing ropes and are supervised. Read your policy details carefully and ensure it is suitable for your needs.

9. Health

Participants should be in good health. No medical certificates are required to join our trips.

10. Special Requests

Advise us of any special requests prior to booking. While we will endeavor to meet these requests, confirmation that a special request has been noted does not guarantee it will be fulfilled unless specifically confirmed.

Cancellations and Changes

11. Cancellation of Bookings

If you cancel your booking, you may be able to reclaim cancellation charges under your insurance policy. Claims must be made directly to the insurance company. Part cancellations affecting the price calculation will be recalculated and re-invoiced accordingly.

12. Transfer of Place

You may transfer your place to another person if you notify us at least two weeks before departure and cover any incurred costs. Note that for destinations like Tibet, legal restrictions may prevent transferring bookings.

13. Changes to Confirmed Trips

Changes to confirmed trips are possible based on practicalities and availability. We do not charge an amendment fee but will pass on any extra costs from suppliers. Changing holiday dates is typically treated as a cancellation and rebooking.

14. Itinerary Changes

Itineraries are guides and may be altered due to circumstances beyond our control, such as adverse weather or road conditions. Extra costs due to weather conditions, such as accommodation or meals, will be mutually agreed upon.

15. Cancellation by Us

If we cancel a trip, we will refund all amounts paid. We generally offer an alternative plan as an option.

Liability and Responsibility

16. Our Liability

We strive to provide the best possible service but do not accept liability for health and personal issues. Ensure your insurance policy covers your needs.

17. Delays

In case of significant delays, we will offer an alternative plan.

18. Conditions of Suppliers

Suppliers provide services according to their own terms and conditions, which may limit their liability to you in the event of death, personal injury, delay, or loss/damage of personal possessions.

19. Adventure Decisions and Behavior

Our team leaders have the right to cancel or offer alternatives if mental or difficult situations arise during the trip.

20. Passport and Visa Requirements

Provide digital copies of your passport and passport-size photos for visa approval. Getting a visa is generally straightforward for frequent travelers.

22. Health Requirements

Good health is the only requirement for our trips. No certificates are needed.

23. Complaints

If you have any complaints, you can raise them on the spot or later. We will make the necessary corrections immediately.

Contract Law and Financial Security

25. Your Contract

Trips are undertaken at your own risk. Provide alternative contact details for emergencies.

26. Our Website

The information on our websites (www.ecotreknepal.com for adventure trips, www.holyhimalaya.com for hotel sections) is general. We prefer customized trip outlines. Provide the number of participants, your interests, and your budget.

27. Overseas Standards

We maintain the highest possible standards at our destinations, focusing on sustainability, quality, and safety.

28. Financial Protection

Holy Himalaya Eco Trek has a successful history since its establishment in January 1992. Generally, our Nepal packages are replaceable but not refundable. Conditions apply to Tibet and Bhutan packages.
